Task Control: Unified and dynamic task management across IT systems

A better solution for task management

The working day is about performing tasks. These often occur as a result of various events in the IT systems; such as a status change on an entry. Many IT solutions have the functionality to create and follow these tasks. There are several challenges with task management in organizations with several IT systems:

  • We need to use several different tools to receive and manage tasks. This requires training, access and licenses for a number of different IT systems. Often the person who is to perform the task has no relation to the rest of the IT solution, and is only interested in the actual task execution.
  • We do not have one single tool to get an overview of tasks we have been assigned and that we are working on; we need to check a number of different IT solutions, perhaps even in several different to-do lists in several different collaboration arenas.
  • A task is often linked to other tasks in a value chain. When this value chain’s task management is split into several IT systems that do not talk to each other, this creates challenges in relation to handover between the involved resources. In practice, manual work and follow-up are required to ensure proper handover. 
  • Many IT solutions lack support for task generation and follow-up. Today, tasks must be created manually in another IT system, and correspondingly, the results must be returned manually.
  • Business processes are not static, they change in step with new requirements, new working methods and organizational changes. A task may need to go through several stages before it can be completed, depending on the response from a previous stage. It is important to be able to create support for such process changes without having to resort to expensive IT custom development.
  • In most comprehensive value chains, we find a combination of both human tasks and associated system tasks. Therefore, there is a lot to be gained from being able to support the entire flow where, for example, a change in data creates the need for a human task – and where the outcome of this should be able to create tasks in another IT system.

Task Control provides all types of IT systems the ability to create tasks and receive feedback on their execution. Task Control can easily be configured to support different business processes, which can include the execution of both human tasks and initiating actions in other IT solutions. With Task Control, all tasks can be gathered in a common task list for the individual user.

Provides support for task management for all types of IT solutions

Task Control is built on LogIQflow, Skyvekraft's advanced technology platform for digitization of collaboration processes. Security, scaling, performance and flexibility are important features of the platform. As long as it is possible to access tables and data in a source system, or the IT system supports programmatic access via API calls or Web-hooks, it should in principle be possible to integrate most types of IT solutions into Task Control and provide support for generation and handling of tasks. This also means that IT solutions that do not directly support task management can get this support by Task Control handling all business logic related to task management, and then being able to write back any outcomes / status changes when the process flow has been completed.

One place for all tasks

With Task Control, all tasks can be gathered in one place, regardless of which IT system that initiated it. This way, those who are to perform tasks can relate to one interface and one solution. This not only makes it easier to have an overview of new, ongoing and completed tasks, it provides time savings and reduced training needs. In addition, it can result in lower licensing costs.

Changes in business processes can be quickly configured

Should business needs change, existing business flows can be reconfigured in Task Control and new ones created as needed.

Configurable handling of various steps, outcomes and actions

Task Control has an advanced configurator that allows a task flow to contain as many steps as desired, and where each step can have different options and fields for completion. In addition, there may be different branches in relation to the outcome of each individual step. Depending on the chosen outcome, this will then be able to trigger different task flows, restart of the flow, change of responsible person and so on.

Human tasks and system tasks can be combined into one efficient value chain

Business flows in Task Control can consist of tasks to be performed by humans, but can also be configured to change data and initiate actions in various IT systems.

Built on LogIQflow - and can be combined with other solution concepts

Since the different applications in LogIQflow use the same technology platform, different concepts can be combined and take part in other extensions, whether they are customer-specific or common to the entire platform. For example, a task in Task Control can be initiated as a result of an action in a collaboration arena, and in a similar way, for example, an automated ordering of a collaboration arena can be combined with a human task, such as in an approval process.
